The Real Estate Sales Pipeline: 7 Stages Every Team Should Track

Ask most agents where a particular deal stands and you’ll get a vague answer — “warm,” “following up,” “should close soon.” A defined pipeline replaces those feelings with stages you can see, measure, and coach. Here’s a seven-stage real estate pipeline that fits how deals actually progress in India, and what should happen at each step.
Stage 1: New enquiry
A fresh lead from a portal, ad, or referral. The only goal here is speed — instant acknowledgement and first contact within minutes. A lead that sits in this stage for hours is already leaking value.
Stage 2: Contacted / qualified
You’ve reached the buyer and learned the basics: budget, configuration, timeline, and how serious they are. This is where you separate the “buying this month” buyers from the “just browsing” ones, so your best agents spend time where it pays.
Stage 3: Site visit scheduled
A committed visit is the strongest early signal of intent. The work here is confirmation and reminders — because a scheduled visit that turns into a no-show drops the deal straight back to square one.
Stage 4: Site visit done
The buyer has seen the property. This is the highest-leverage moment in the whole pipeline: objections are fresh, interest is peaking, and a fast, specific follow-up now decides most deals. Surface concerns immediately — price, possession, payment plan — while the visit is vivid.
Stage 5: Negotiation
Price, payment plan, and terms are being worked out. Track exactly what’s been offered and agreed, so nothing is lost in WhatsApp threads and no promise is forgotten when it’s time to paper the deal.
Stages 6 & 7: Booking and closed
The finish line — and where clean records matter most:
- Booking: token or booking amount received, unit held or blocked, paperwork initiated — make sure inventory updates instantly so the unit can’t be sold twice
- Closed: agreement done, payment milestones set, buyer moved to onboarding and (ideally) a referral request scheduled
